TERMS & CONDITIONS | DECEMBER 2023

By making a reservation at Mt Aspiring Holiday Park (Holiday Park), you are accepting these Terms and Conditions, and the Holiday Park Rules, which form part of the T&Cs. We are a family-friendly Holiday Park and kindly ask you to respect our House Rules so that all guests can enjoy a relaxing holiday. If any of these rules are breached, you may be required to leave the Holiday Park without refund.

RESERVATIONS

  • Reservations are a contract between Hahei Beach Limited trading as Mt Aspiring Holiday Park and the person, of the required minimum age, named on the reservation as the Reservation Holder. See below for seasonal Reservation Holder age restrictions.
  • All rates are in New Zealand Dollars and include GST.
  • The child rate is 3 -15 years inclusive; no charge for children under the age of 3 years.
  • For all campsite reservations, maximum of 4 people per campsite.
  • Guests will be asked at time of check-in to provide ID, for example, a Drivers Licence, Passport or Kiwi Access card.
  • Reservations are not transferable. The person named on the reservation ie. the Reservation Holder, must occupy the site/room for the duration of the booking. We reserve the right to cancel any booking, without refund, if the Reservation Holder is not present.
  • Any bookings made using a third party website, discount, deal or special offer may have separate Terms and Conditions. Please contact us directly at the time of booking.
  • If you book via a third party website and need to change the booking, you must contact them directly.
  • All guests must follow Holiday Park Rules throughout the duration of their stay following any staff, security and Health & Safety instructions.
  • Guests are responsible for the safekeeping and replacement of any accommodation keys. Guests requiring a key from the park manager after office hours will be charged a service fee of $55.
  • Please note room decor may differ slightly from the website

Where you have specifically requested a room or campsite, we will use all reasonable endeavours to provide you with your requested room or campsite: however, we reserve the right to modify your booking at any time, for any reason whatsoever, including where availability is affect by cleaning and maintenance requirements, weather damage and/or the need to accommodate other bookings.

RESERVATION HOLDERS

  • All accommodation is for short term/ holiday purposes only. The Reservation Holder must occupy the campsite/room and be onsite with their guests listed in the original booking, for the duration of the contract.
  • For campsites and accommodation in Peak Season (20 December - 20 January), Public Holidays and Wanaka Event times, the Reservation Holder and the age of all of their guests must be 25 years + if not travelling with a parent or guardian
  • For campsites and accommodation outside of Peak Season (20 December - 20 January), Public Holidays and Wanaka Event times, the Reservation Holder and the age of the group must be 21years +
  • For Group Bookings ie. non-family members, the Reservation Holder will be responsible for the group’s good behaviour and compliance with the Holiday Park Rules
  • For Group Bookings ie. non-family members, the Reservation Holder will be required to:
    • Show photo ID as proof of age along with all other guests in the group at the time of check-in. Unfortunately, if you are not able to show acceptable proof of age, your booking will be cancelled and no refund will be provided
    • The Reservation Holder will also be asked to sign a Good Behaviour Bond Agreement. A credit card bond of $300 will be required at check-in
    • If misbehaviour occurs, the Manager has the discretion to:
    • Evict the Reservation Holder and their guests, charge the card a $300 fee plus any costs for extra cleaning or damage, without the authorisation of the card holder. In this case any payment for further dates of stay will be forfeit and the guests will be trespassed from the Holiday Park.

RESERVATIONS PEAK SEASON 20 DECEMBER - 20 JANUARY, CHRISTMAS, NEW YEARS AND OTHER SPECIAL EVENTS

  • For campsites and accommodation in Peak Season (20 December - 20 January), Public Holidays and Wanaka Event times, a Group Reservation Holder and the age of all of their guests must be 25 years + if not travelling with a parent or guardian
  • All guests must be aged 25 years+ and provide valid photo ID. This is not applicable to families and their children.
  • We require full names and ages of all guests at the time of booking.
  • Only a Parent or Legal Guardian can book a campsite or accommodation for those aged under 25. This must be approved by management as a family group with a parent or legal guardian staying and taking responsibility for the family group throughout the stay.
  • Guests may be provided with a wristband ID.
  • Guests will not be allowed additional visitors to the Holiday Park over the New Years period.
  • Security will be on site during the New Year period performing ongoing checks at the entrance and throughout the park for the duration.

CHECK-IN AND CHECK-OUT

  • Office hours will change depending on demand and season. Call the office for the current hours
    • Check-in times will be:
    • Campsites 12pm - 6.30pm
    • Accommodation 2pm - 6.30pm
    • If you will be arriving after 6.30pm, please advise so we can arrange a late arrival pack for you.
  • Check-out time is no later than 10am SHARP unless previously arranged with reception.
  • Unauthorised late check-out after 10am may result in a penalty being charged to exit the park.
  • The Reservation Holder and all of their booked guests must register at Reception and provide ID.
  • The maximum number of people allowed in accommodation is specified in the room descriptions.
  • Maximum of four people per camping site.
  • Any additional guests or unauthorised persons found in the Holiday Park will be asked to leave immediately and will be charged the nightly rate plus a $25 fine.
  • Only one vehicle can be parked within your paid site/area (apart from your caravan or campervan).

PAYMENT POLICY, CANCELLATION TERMS AND CONDITIONS

  • We recommend you have your own personal insurance to cover disruptions to your travel arrangements, cancellations and alterations.
  • Online bookings, via our website, will be charged in full at time of booking.
  • We accept Visa and Mastercard, a 2% credit card surcharge applies.
  • For bookings made via third party travel sites or agents, their Terms and Conditions will apply so please contact them directly for any changes to your booking.
  • Additional payment and cancellation policy applies depending on the time of your booking, please see below for the relevant time of your reservation:

Our cancellation policy is firm. We recommend that guests take out adequate travel insurance to cover the loss of deposit or any accommodation charges should the cancellation policy be applied. As the New Zealand Government has removed all mandatory Covid-19 requirements, we will not provide a refund when you cannot travel or you leave the holiday park early because of Covid-19, or any other illness. We recommend that you refer to the latest Covid-19 recommendations on www.covid19.govt.nz

PAYMENT POLICY, CANCELLATION TERMS AND CONDITIONS - EXCLUDING PEAK SEASON, SCHOOL HOLIDAYS, SPECIAL EVENTS AND PUBLIC HOLIDAYS

  • If calling or emailing the property directly, a credit credit is required to confirm a booking. The full cost of the booking is charged 48 hours prior to arrival.
  • Full pre-payment is charged 48 hours prior to arrival and the booking will be non-refundable and non-transferable from this time.
  • A cancellation fee of $25.00 will be charged if cancelled more than 48 hours prior to arrival.
  • Cancellations must be made in writing to info@mtaspiringholidaypark.co.nz
  • “No shows” will be charged 100% of the booking value.
  • There will be no refund or credit given if you delay your arrival or depart early including weather conditions.
  • Minimum nights stay may apply to your booking, please check at the time of booking.

PAYMENT POLICY, CANCELLATION TERMS AND CONDITIONS - PEAK SEASON PEAK SEASON 20 DECEMBER - 20 JANUARY

  • A non refundable and non transferable deposit of 50% of the booking amount is due on 01st October with the remaining balance due on 01st December.
  • Minimum night stays will apply, please check at the time of booking.
  • We require written notice of all cancellations and changes (subject to availability) to be confirmed:
    • After 31 October for the upcoming Peak Season
      • 50% of your total confirmed booking is non-refundable and non-transferable.
      • Bookings cannot be moved to alternative dates, amended or have the number of nights reduced.
    • After 1 December for the upcoming Peak Season
      • 100% of your total confirmed booking is non-refundable and non-transferable.
      • Bookings cannot be moved to alternative dates, amended or have the number of nights reduced.

PAYMENT POLICY, CANCELLATION TERMS AND CONDITIONS - SPECIAL EVENTS, SCHOOL HOLIDAYS, PUBLIC HOLIDAYS

  • A credit card is required to confirm a booking.
  • Full pre-payment is charged 14 days prior to arrival and is non-refundable and non-transferable.
  • A cancellation fee of $25.00 will be charged if cancelled more than 14 days prior to arrival.
  • Minimum night stays will apply, please check at the time of booking.
  • Bookings cannot be moved to alternative dates, amended or have the number of nights reduced.

INACCESSIBILITY TO THE HOLIDAY PARK

In the event you are unable to access the Holiday Park due to road closures in the Wanaka area which prevent you from driving to Wanaka on the day which your booking is scheduled to commence, you are entitled to be refunded for the day/s which you are unable to access the Holiday Park. You will be required to provide evidence of the Waka Kotahi road closure, your booking number and email it to us info@mtaspiringholidaypark.co.nz for management’s attention.


STANDARDS OF BEHAVIOUR
  • Quiet time is expected from 10pm - 7am.
  • For the quiet enjoyment of all guests, there is a NO PARTY policy in all rooms, campsites and communal facilities. Noisy, intoxicated, or anti-social behaviour is not permitted anywhere in the park. If evicted, the guest/person could be trespassed from the Holiday Park if found onsite again.
  • Smoking and vaping are not permitted in or outside any of the guest rooms and communal facilities within the Holiday Park. Additional cleaning fees will be charged.
  • No weapons or illegal drugs are permitted onsite at any time.
  • If behaviour is deemed unacceptable by staff and/or any security company employed by Mt Aspiring Holiday Park, guests will be asked to leave the premises immediately with no refund for remaining nights.
  • Please keep to a 5km speed limit when driving through the park and be mindful of children near the playground and facilities areas.

HOT TUB AND SWIMMING POOL

  • All persons using the Hot Tub, swimming pool and waterslides do so at their own risk and sole responsibility. Mt Aspiring Holiday Park accepts no liability for the injury or death or loss associated with the use of the pools and the surroundings, including valuables and clothing.
  • When using the Hot Tub or swimming pool, children must be supervised by an adult at all times.
  • Swimming alone is not permitted.
  • Maximum of 4 people in the Hot Tub.
  • No alcohol, drugs, narcotics, food, glass, or bubble bath is to be used whilst in the Hot Tub
  • Please vacate the Hot Tub within your allotted time and leave the hot tub area tidy.
  • The key must be returned to the key box at reception.
  • If reception is closed and guests need an issue resolved, please contact us by phone
  • Misbehaviour, leaving the Hot Tub in a poor condition will not be tolerated. If additional cleaning or presence is required during a pool booking a $50 fine will be issued.
  • Hot Tub and swimming pool operating times may change for seasons and maintenance.

PETS IN THE PARK

If you are staying in accommodation:

  • Strictly no dogs or animals inside any accommodation or Holiday Park buildings at any time (except Service Dogs).
  • Dogs or animals are not allowed to be left in unattended vehicles at any time, especially not overnight.

If you are camping:

  • We do not allow any dogs or animals in the holiday park in Peak Summer, Easter, any Public Holidays and Special Events weekends (except Service Dogs).
  • From the first Tuesday after Easter - 30 November, well-behaved dogs, on a lead, are welcome on campsites - only with prior approval from the Manager.
  • Dogs must be registered, vaccinated and kept tied up or on a leash at all times.
  • Your pet is your responsibility and should never be left alone in the holiday park.
  • Communal facilities and holiday park buildings are strictly out of bounds for dogs.
  • Please clean up after your pet immediately and dispose responsibly!

    You may be asked to leave if you do not mention at check-in that you have a pet with you.
    A fee of $350 will apply if this policy is breached.

VISITORS

  • All visitors are required to sign-in at reception on arrival. Visiting hours are limited to office hours. Visitor Passes will be issued at the discretion of the reception staff. Guests must collect all visitors from reception.
  • Any unauthorised person found in the Holiday Park will be asked to leave immediately and will be charged the nightly rate plus a $25 fine.
  • All visitors must park outside the Holiday Park and walk in after registration has been approved by reception.
  • The Reservation Holder/Guests will be held responsible for their visitor’s behaviour, as per Holiday Park T&C’s, and Holiday Park Rules. All parties may be asked to leave, without refund, for non-compliance.

CLEANING/DAMAGE

  • We would appreciate your respect for our property, and that you leave the accommodation and facilities in a clean and tidy condition with the dishes done.
  • Please notify Reception immediately of any breakages or damage to Holiday Park property.
  • Management reserves the right to recover all costs where extra cleaning is required or for damages incurred.

HEALTH & SAFETY

Children under 16 must be supervised by an adult at all times, especially in these areas:.
  • Playground, swimming pool, waterslide, Hot Tub, near the entrance, reception and communal buildings - these are busy areas for large vehicles or water hazards.
Cyclists - all cyclists must follow the road rules as there are cars and large vehicles moving around:
  • Bike helmets are to be worn at all times by adults, teens and children - everyone!
  • No bikes, scooters, skateboards are to be ridden in and around the Holiday Park entrance, in front of the main reception building, in or near the main amenities buildings
  • No bikes, scooters or skateboards to be ridden onsite after 8pm
  • Share with care with special caution to large vehicles
  • Take extra care entering, exiting and using all roadways within the Holiday Park
  • Management reserves the right to confiscate bikes for the duration of stay if the above rules are not followed
Travel speed - when entering, exiting and within the Holiday Park by vehicle, bike, skateboard or scooter - speeds must be walking pace, less than 5km/hour at all times. NZ road rules apply within the park, all roadways are share with care for pedestrians, cyclists, scooters, large vehicles including motorhomes, caravans, boat trailers, tractors, delivery trucks - please take extra caution near the reception area.
 
Hot Water - please supervise children and take care with turning on hot taps in all showers, baths, laundry and kitchen facilities.
 
Hot Tub - Terms and Conditions of hire apply at the time of booking a Hot Tub - paying the fee before being issued with a key, covering and locking the cover when the pool is not in use, safe keeping and return of the key to reception, and children under 16 must be supervised by an adult at all times.
 
Fire Ban - there is a total fire ban in the Holiday Park and surrounding area from 1st November to 1st April. NO unattended candles, open BBQs, or fireworks allowed.
 
BBQs - Holiday Park and guests own BBQs must be attended by an adult at all times. Only gas BBQs may be used, no charcoal allowed.
 
First Aid - for all emergencies dial 111. For minor injuries, please report to reception for assistance, or phone the Duty Manager's mobile, listed on the reception door after hours.
 
In Case of Emergency - you agree that you, your group and any visitors registered with you will follow the instructions of the Mt Aspiring Holiday Park staff.
 
Breakages, accidents, hazards - please report to staff at your earliest convenience.
 
Lock it or lose it - take care to lock your accommodation, vehicles and personal possessions at all times. We cannot be liable for any theft or damage to vehicles or your personal belongings, including food stored in communal fridges and freezers.
Electrical WOF - a current electrical WOF is required for all campervans and caravans and a camping approved round pin, RCD power cord (10m long) to connect tents to power

LIABILITY

  • Personal belongings, including vehicles and caravans, are always the responsibility of each guest during their stay. We accept no liability whatsoever for any accident, loss or damage to your property, unless such loss is due to our negligence.
  • We cannot be held responsible for the failure of paid or public services (e.g. internet, water, gas, electricity etc).

PRIVACY ACT

Unless you instruct us in writing, the booking information provided by you will not be passed on to a third party or disclosed to persons inquiring if you are a guest.

Hahei Beach Limited reserves the right to update these Terms and Conditions.
